1. Our Policy

This policy describes how the website of www.areasciencepark.it is managed, and we provide all the information necessary to understand how we process personal data relating to the users who consult it. This policy is a policy statement provided pursuant to articles 13 and 14 of Regulation (EU) 2016/679 (“General Data Protection Regulation”, hereinafter “GDPR”) and is intended for those who interact with the web services of Area Science Park which can be accessed by electronic means from the web address www.areasciencepark.it, corresponding to the home page of our website, or from internal pages. This information notice only applies for the website www.areasciencepark.it; it does not apply to any other online websites, pages or services that can be consulted by the user through hyperlinks.

Area Science Park complies with the right of its users to be informed on the collection of their personal data and its processing. We apply the principle of strict necessity to the processing of data that could directly or indirectly identify you. 2. The Data Controller

The Data Controller is Area di Ricerca Scientifica e Tecnologica di Trieste – Area Science Park, a national public research institution supervised by the Ministry of Universities and Research, established in Padriciano, 99 – Trieste.

The Data Protection Officer is the party designated by Area Science Park who you can contact for all issues related to processing your personal data as follows:

4. The data we process

Following a visit to our website, data relating to identified or identifiable persons may be processed (users and third parties), collected automatically by the website, including via automated systems, or entered voluntarily by the data subjects and more specifically:

BROWSING DATA

The IT systems and software procedures used to make our website work acquire, as part of normal operations, certain personal data whose transmission is implicit in the use of Internet communication protocols. This information is not collected to be associated with identified data subjects but could, by its very nature, make it possible to identify you through processing and association with data held by third parties. This category of data includes IP addresses or the domain names of computers that you use to connect to the website, addresses in URI (Uniform Resource Identifier) notation of the requested resources, the time the request is made, the method used to submit the request to the server, the file size obtained in response, the numerical code indicating the response status from the server (successful, error, etc.) and other parameters related to your operating system and your computer environment.

The data are only used to obtain anonymous statistical information concerning the use of the website and to ensure proper operation and are deleted immediately after processing. However, the data may also be used to ascertain responsibility in the event of computer crimes that harm the website.

DATA PROVIDED VOLUNTARILY BY THE USER

Apart from what was specified for the browsing data and technical cookies, users are free to provide their personal data for the purposes for which they accessed the website. In general, Area Science Park does not collect or process personal data relating to minors. By accessing the website and using the services offered, you declare that you are an adult; minors under the age of eighteen should not provide their personal data.

If your name indicates your nationality, we would like to specify that this information will not be considered sensitive since it is different from the data that literally indicate the racial or ethnic origin of the individual.

We will only use your data with your consent for promotional and marketing purposes, and more especially your contact information.

If you provide personal and contact data of a third party, this will represent processing of personal data for which you are acting as independent controller, taking on all the obligations and responsibilities provided for under the privacy laws. In that sense, you will have to guarantee to Area Science Park that any information on third parties that you indicate was acquired by you in full compliance with Regulation (EU) 679/2016. You shall guarantee the broadest release from responsibility against any objection, claim or request for compensation for loss suffered from processing that should be submitted to Area Science Park from any third party due to your indication of his or her data in breach of the applicable rules on the protection of personal data.

If you wish to send us your CV, please note that we will not be able to consider it and that the personal data it contains and other information provided to improve your profile (for example relating to your education, professional situation, specific skills and knowledge, etc.) will not be retained and will be immediately destroyed in accordance with prevailing laws on personal data protection. The registration and use of said data is only permitted if there is a recruitment drive for candidates who wish to establish a working relationship or professional or scientific relationship with Area Science Park, under the conditions and within the limits specified in the policy statements in the announcements and the recruitment notices that will be published on the website from time to time.

Otherwise, if you wish to submit your application to job offers with companies and research centres for whom Area Science Park gives visibility on its website, using the contacts indicated, your data will be processed exclusively by each company or research centre in its capacity as independent data controller according to the privacy policy they provide.

In view of the above, users of the website may optionally, explicitly and voluntarily provide their personal data for the following purposes:

TO REGISTER OR IDENTIFY THEMSELVES: access to the restricted areas of the website (myArea) or to specific web services requires users to register or identify themselves by entering their name, surname, email address and the name of the company or organisation that they belong to so that they can be identified.

TO SEND COMMUNICATIONS OR CONTACT AREA SCIENCE PARK: filling out contact forms or sending emails to the addresses indicated on this website means that the sender’s address – needed to reply to the user’s requests – and any other personal data included in the message will be acquired. Telephone calls or the sending of communications by other electronic means to the numbers on the website will also mean that the data communicated by the caller or sender shall be acquired. However, users are requested not to provide sensitive data relating to themselves or third parties without having first provided their consent in the manner provided for by law.

TO SUBSCRIBE TO THE NEWSLETTER: the user has to make an explicit request for the Area Science Park newsletter to be sent by email by indicating his/her name, surname and email address in the appropriate form. Communications sent by Area Science Park may include invitations to events and updates on initiatives organised by the Institution, including on the basis of the areas of interest specified by the user. If you wish to stop receiving the newsletter, simply follow the instructions at the bottom of each email or write to rpd@areasciencepark.it asking to remove the address from the mailing list, preferably using the form available in the Privacy section of the website.

TO TAKE PART IN INITIATIVES, EVENTS OR COURSES: registration for initiatives, events or courses is done by filling in the appropriate forms on the website where the obligatory data are marked with an asterisk (*). It therefore follows that refusal to provide said data will make it impossible to complete the registration. The provision of data not marked with an asterisk (*) is however merely optional and the application can still be submitted without said data.

Area Science Park may use your data to update and correct the information previously collected on your account. Please read paragraphs 5 and 6 below carefully for further information on the purposes and methods used to process the personal data.

5. The purposes and legal basis for processing the data

Area Science Park, as Data Controller of the personal data of users of the website www.areasciencepark.it, makes decisions on the purpose and means of processing, implementing appropriate technical and organisational measures to ensure, and be able to demonstrate, that processing is carried out in accordance with prevailing laws, taking into account the nature, scope, context and purposes of the processing, as well as the risks with varying degrees of likelihood and severity for the rights and freedoms of individuals.

The personal data are processed by the Data Controller for the following purposes:

  • to ensure the proper functioning of the web pages and their content (in which case, the data processing is based on the legitimate interests of the Controller)
  • to create the user profile with access to the reserved area (in which case the processing is carried out to meet user’s requests and is based on the performance of a contract or pre-contractual measures)
  • to send the newsletter (in which case the processing is based on the consent of the data subject)
  • to respond to requests for information and assistance (in this case, the processing will depend on the user making a request and is based on the performance of a public interest duty of the Controller)
  • to allow registration for initiatives, events or courses, by filling in the form, to send useful logistical information and subsequently contact the participant to send the training materials and any certificates of participation and assignment of credits (in this case, the processing is based on the performance of a task of public interest vested in the Data Controller; the data collected may be used in the future by the Data Controller to inform users about other similar initiatives and to keep them updated on activities of interest).

In order to make you aware of the specific purpose of processing your data, when we ask you to enter them in the appropriate forms or provide them to obtain more information about our services or more generally to interact with the web services of our website, we make the data processing notices available to you each time.

6. Who processes the data, how they are processed and who the recipients are

The processing related to the web services of this website is only carried out by staff who have been authorised and instructed by Area Science Park regarding the purposes and methods of processing and by technicians in charge of site maintenance operations or by persons specifically appointed as Data Processors. You may ask the Data Controller at any time for the full list of the appointed Data Processors involved in the processing of data for the purposes set out in this policy.

With the exception of disclosures made in execution of legal obligations or by order of the authorities, the communication to third parties involved in Area Science Park activities and the disclosure of your personal data shall only take place if provided for in the policy statements.

Users’ personal data are mainly processed in electronic form and in some cases also in paper form. Specific security measures are adopted to prevent data loss, unlawful or incorrect use and unauthorised access.

7. How long Area Science Park retains your data

The Data Controller has adopted the following policies regarding the retention of data of users of this site:

  • browsing data are deleted immediately after processing
  • the data provided in the contact forms or emails sent to the addresses published on the website are kept until the end of the calendar year in which they were collected and, in any case, no longer than is necessary to respond to the requests received
  • the data provided during registration and required to create the user profile are retained until the user’s account is closed
  • the data provided for receipt of the newsletter are processed until the data subject revokes consent (revocation of consent is immediately recorded by the Controller but does not apply to campaigns already planned prior to receipt of the request)
  • the personal data provided in the registration form for initiatives, events or courses are used for the purposes indicated above and kept for the time specified in the relevant policy statements, it being understood that the email address may be used for the communication of similar initiatives until the data subject objects.

8. What happens if you do not provide Area Science Park with your personal data

Apart from what is specified for browsing data and certain technical cookies, you may provide your personal data to communicate with Area Science Park; failure to do so may result in the inability to obtain what you requested or the consequences specified in the policy statements from time to time. In any case, when requesting data, we specify the information you must provide to Area Science Park by placing an asterisk next to it (*).

9. Opt-in/Opt-out

Area Science Park may use your contact information, including your email, to send direct information, promotional or marketing material or other official communications. If these communications relate to similar services to those you already use, Area Science Park may even send them to your email address without your express consent on condition that you have not refused that use of the email address when you were giving consent or on subsequent occasions, while your express, free consent will be necessary to permit Area Science Park to send you emails relating to other types of services than those you have already used.

In any case, Area Science Park guarantees its users, at any time, and without the need to give reasons, the right, upon request, not to receive communications linked to the use of specific services in future as specified in paragraph 10 of this policy.

You may share the information and data provided to Area Science Park through the social networks on which you are registered, accepting their respective privacy policies, which, depending on the case, may involve the disclosure of data to third parties or their dissemination.

Facebook social button/widget

The Facebook like button and its variants are services operated by Facebook Inc., a company which complies with EU legislation on the collection, use and storage of personal data and ensures that data is processed in line with European security standards. You can ‘click’ to interact with the social network via this website, but Facebook will thereby acquire data relating to your visit to the website. Please note that Facebook does not share any information in its possession with Area Science Park.

In your capacity as data subjects, you can enforce the following rights: access to the personal data, the rectification or erasure of the data, the limitation of the processing, objection to the processing, data portability (right applicable to data in electronic format only), withdrawal of consent in the cases in which its issue is required. To exercise these rights, please send a request to the Data Protection Officer at the following address: rpd@areasciencepark.it, preferably using the form available in the Privacy section of the website. Area Science Park is required to provide a response within one month from the request which can be extended for up to three months in the event of particularly complex requests.

12. Right to lodge a complaint with the supervisory authority

If you believe that the processing of your personal data carried out through the Area Science Park website is in breach of the provisions of Regulation (EU) 2016/679, you have the right to lodge a complaint with the Data Protection Supervisory Authority or to take appropriate legal action.

13. Applicable law

This Privacy Policy is governed by European laws and in particular by General Data Protection Regulation (EU) 679/2016 that guarantees that the processing of personal data is carried out in compliance with the rights and fundamental liberties of people.

14. Changes and updates to the Privacy Policy

The Privacy Policy of this website takes effect from 25.01.2023 and is subject to updates. Area Science Park may amend or simply update all or part of this policy, also in view of changes in the rules governing this matter and to protect your rights. Changes and updates to this policy will be binding as soon as they are published on the website in this section.
